Departmental Migration to Office 365 Email

What is the Migration Process?

There are several steps involved when migrating a department to Office 365 email.

Step 1: Review the online documentation

The Migration website and the Pre-Migration & Post-Migration checklists provide an overview of what to expect.

Step 2: Contact the UTHSC HelpDesk

Contact the UTHSC HelpDesk to indicate your interest in migrating and identify a departmental representative.

Step 3: Meet with Office 365 Email migration coordinators

Office 365  migration coordinators will meet with appropriate departmental representatives to discuss the migration process, requirements, pre-migration steps, timeline, and post-migration follow up.

During this discussion, we will determine the best day(s) & time for the department's migration. We can migrate up to 200 accounts per day. For departments with more than 200 accounts, the migration will be split over multiple days.

Step 4: Migration Preparation

Departmental representatives will collect a list of accounts to be migrated, including faculty, staff, departmental accounts, sponsored users, resource mailboxes, etc. This list must be provided to UTHSC two weeks prior to the scheduled migration.

UTHSC will work with the departmental representatives to address any remaining departmental public folders. All public folders must be converted to resource mailboxes or retired.

Individuals should review the pre-migration checklist to ensure no loss of data, optimal performance, and a smooth transition.

Step 5: Migration

All migration preparation should be completed by noon on the day prior to the migration. At that time, we will begin the migration, finalizing it at the designated time. Users will retain access to their email accounts until the upgrade process is complete.

Although migration finalization is generally a smooth & fairly automatic process, UTHSC HelpDesk staff will be available by phone to assist faculty and staff after migrations with configuring their mobile devices and accessing email through UTHSC supported clients.
